What Information Do We Collect?
DWB Technologies Pty Ltd (ABN 65 664 072 968), trading as Dayworkbook ("Dayworkbook", "we", "us", "our"), provides a construction-technology platform that helps construction subcontractors create, sign and compile daywork sheets. This Privacy Policy explains how we handle personal information. We are based in Perth, Western Australia, and we comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where you use Dayworkbook from outside Australia, additional local laws may apply, as described in section 12.
Who this Policy Covers
This policy applies to visitors to our websites, people who enquire about Dayworkbook, account holders and their authorised users, and individuals whose information is entered into the platform. Dayworkbook is intended for business users aged 18 and over. It is not directed at children, and we do not knowingly collect personal information from anyone under 18.

How We Collect It
We collect information directly from you (when you sign up, enquire, or use the platform), automatically (through your use of the app and website, including built-in usage tracking — see section 6), and occasionally from third parties such as our payment, analytics and CRM providers.
Why We Use Your Information
We use personal information to: create and administer accounts and organisations; provide the platform and its "Create. Sign. Compile." workflow; process payments and manage subscriptions; provide support; send service and transactional messages; send marketing communications where permitted (see section 9); contact leads who have asked us to (see section 10); maintain security and prevent fraud; comply with legal obligations; and improve and develop the platform, understand how it is used, and power AI features (see sections 6 and 8).
Your Content and Our IP
You keep ownership of the content you enter. Dayworkbook owns the platform, software, branding, and the format and templates used to present and generate outputs (including daywork sheets and billing reports).
How We Use Usage Data — Product Development, Analytics and Account Insights
Dayworkbook includes built-in usage tracking so we can understand how the platform is used. We use this data, and the content of your account, for purposes including:
This usage data is not shared with advertising networks, retargeting platforms or social media companies, and is not used for targeted advertising. Where we use this information for the purposes above, it relates to your organisation's use of Dayworkbook and is handled as part of providing and improving the service to you — it is not sold to third parties.
Aggregated and De-identified Data
We may use information in an aggregated form that does not identify your organisation for research, product development, and other purposes, including sharing or providing this aggregated information to third parties, now or in the future. We will not do this in a way that identifies your organisation or its data, and we will not share your identifiable content or financial information with advertisers or other unauthorised third parties.
AI Features and How They Use Data
Dayworkbook offers, and is developing, AI-assisted features that may process the content you enter to generate suggestions and outputs for you. To power these features, we use trusted third-party AI providers — currently OpenAI and Anthropic — as subprocessors, accessed through their business/API services. Under those providers' standard terms, data submitted through their business or API services is not used to train their general-purpose models. We do not permit your customer content to be used to train third-party AI providers' general-purpose or foundation models. AI outputs are suggestions and may contain errors — you remain responsible for reviewing them before use.
Marketing Emails
We send marketing and promotional emails, and manage our contacts through a customer-relationship-management (CRM) provider. We send marketing emails where we have your consent (express or, where permitted, inferred from an existing business relationship), consistent with the Spam Act 2003 (Cth). Every marketing email identifies us and includes a working unsubscribe link; we action unsubscribe requests within five business days. We will also stop on request. Service and transactional emails (for example billing notices, security alerts and trial reminders) are not marketing and will continue regardless of your marketing preferences.
Phone Contact and Automated/AI Calling
If you give us your phone number when you make an enquiry, we may call you to follow up. When our team is not immediately available, these follow-up calls may be made using an automated system, including a digital assistant. We ask for your consent to this when you submit your details, using a clear opt-in, and we record that consent. You can withdraw consent at any time by telling us during a call, replying to any of our messages, or emailing admin@dayworkbook.com — we maintain an internal do-not-call list and honour the Do Not Call Register. We make these calls only within permitted calling hours, we identify ourselves and our purpose, and where a call is handled by a digital assistant we will say so. If we record or transcribe a call, we will tell you at the start.
Who We Share Information With
We share personal information with service providers who help us run Dayworkbook, under contracts requiring them to protect it. These include our providers for payment processing, email delivery, backend hosting and AI, customer-relationship management, telephony, and website hosting. Customer invoice data, financial records, and other identifiable personal information are not shared with advertising networks, retargeting platforms, or social media companies, and our subprocessors are not permitted to use this information for advertising or to train their own AI models. We may also disclose information where required by law, to protect our rights or safety, or in connection with a business sale or restructure. We do not sell identifiable personal information to third parties.
Where Your Information Is Stored
Customer data is hosted in Australia. Our website is hosted with a cloud provider in the Sydney region. Some of our service providers are located overseas or process data overseas. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the APPs, as required by APP 8.
International Users
We welcome customers around the world. Where local privacy laws apply to you, we aim to handle your information consistently with them — for example the New Zealand Privacy Act 2020, the UK GDPR and Data Protection Act 2018, the EU GDPR, Canada's PIPEDA, and US state privacy laws such as the California CCPA/CPRA. Depending on where you live, you may have rights to access, correct, delete or port your information, or to object to or restrict certain processing; contact us to exercise them.
How Long We Keep Information
Security
We use technical and organisational measures to protect personal information, including access controls, encryption in transit and at rest, secure hosting, role-based access restrictions, and regular backups. No system is completely secure, but we work to keep your data safe and will notify you and the regulator of an eligible data breach as required.
Your Choices and Rights
You can access or correct your personal information, update your marketing and call preferences, or ask us to delete your information, by contacting us. You can also raise a privacy concern with us; if you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au) or your local privacy regulator.
